NTARI-ville Task Management Guide

Overview

This guide explains how volunteers navigate and manage tasks within NTARI-ville channels. The task management system is designed to provide transparency, track contributions, and enable collaborative work across the organization.

Finding Available Tasks

Tasks are always available in each channel and can be accessed by navigating to tabs labeled:

  • Task List

  • Project List

These tabs are located at the top of each channel and contain all current work items for that area.


Understanding Task Structure

Each task is organized into six columns that provide essential information:

Column

Description

Task Title

Brief name identifying the task

Task Description

Detailed explanation of what needs to be done

Contributor(s)

Names of volunteers working on this task

Status

Current state of the task (Not Started, In Progress, Blocked, Done)

Expected Completion

Target date for task completion

Task Category

Classification of the task type

Claiming a Task

Step 1: Review Available Tasks

Browse the task list and identify work that matches your skills and interests. To learn about a task:

  • Read the Task Title for a quick overview

  • Check the Task Category to understand the type of work

  • Review the Task Description for complete details


Step 2: Add Yourself as a Contributor

To claim a task, add your name to the Contributor(s) column.


Step 3: Set Completion Date and Update Status

After adding yourself as a contributor, you will receive an automated message prompting you to:

  1. Add a target date to the Expected Completion column

  2. Change the Status from "Not Started" to "In Progress"


Managing Your Tasks

Status Options

Volunteers are responsible for keeping their task status current. Available status options include:

  • Not Started – Task has been created but no work has begun

  • In Progress – Contributor is actively working on the task

  • Blocked – Work cannot proceed due to dependencies, missing information, or other obstacles

  • Done – Task has been completed


When You're Blocked

If you change a task status to Blocked, an automated message will be sent to the channel requesting assistance from:

  • Channel administrators

  • Other volunteers who may be able to help

When marking a task as blocked, clearly communicate what is preventing progress so others can provide effective support.


Completing a Task

When you finish a task:

  1. Change the status to Done

  2. You will receive a message asking you to verify completion

  3. After verification, the task will be recorded in your Volunteer Contributions list


Volunteer Contributions List

The Volunteer Contributions list serves as an official record of your work with NTARI. This list:

  • Tracks all tasks you have completed

  • Documents your contributions to the organization

  • Is used to write exit letters when volunteers transition out of NTARI

Your contributions list provides a comprehensive record of your skills, efforts, and impact within the organization.


Best Practices

  • Update status regularly – Keep your tasks current so others know what you're working on

  • Communicate blockers promptly – Don't let obstacles slow down progress without asking for help

  • Set realistic completion dates – Give yourself adequate time to do quality work

  • Verify completed tasks – Ensure your contributions are properly recorded

  • Ask questions – If task descriptions are unclear, reach out to channel administrators or other contributors

If you encounter problems with the task management system or need clarification on how to use it, please:

  • Post in the relevant channel

  • Tag channel administrators

  • Review this documentation
